Documentation Coordinator (Maternity Cover 12 months)
About the Position:
As a Documentation Coordinator, you will play a crucial role in ensuring compliance with Know Your Customer (KYC) and Anti-Money Laundering (AML) regulations. You will manage key documentation processes, facilitate internal and external compliance inquiries, and oversee administrative tasks related to legal and regulatory frameworks. The Documentation Coordinator will report directly to the Head of Documentation.
This role offers the chance to contribute to maintaining high standards of compliance, documentation, and internal governance, supporting the organization’s growth and operational efficiency.
The role requires 30–37 hours per week and is based at our head office in Hellerup, Denmark.
Your Key Responsibilities:
- Manage KYC inquiries and AML forms.
- Coordinate notary and apostille processes, including scheduling and document preparation.
- Communicate with external (lawyers, banks) and internal stakeholders to ensure accurate documentation and compliance.
- Manage DHL documents, collect in-house signatures, and gather documents for organizational charts using the project management system.
- Provide first-line support for users of the project management system, manage documentation compliance, and administer system updates, including metadata tagging and SharePoint settings.
- Provide training for new employees on documentation best practices.
About You:
- A degree or relevant certification in administration, documentation management, or a related field.
- Minimum of 3 years of experience in administrative roles with a strong focus on compliance, documentation, or KYC/AML processes.
- Understanding of KYC (Know Your Customer) and AML (Anti-Money Laundering) processes.
- In depth organizational and coordination skills to manage complex workflows while being attentive to detail, ensuring accuracy in legal and compliance documentation.
- Proficiency in Microsoft 365 (Word, Outlook, SharePoint, Teams), with a plus for experience in metadata tagging, document automation, and management of virtual data rooms for external collaboration.
- Fluency in written and spoken English.
- Ability to collaborate across departments to ensure seamless compliance processes.
